The information we collect

When you contact us

If you use the enquiry form we collect your name, your phone number and/or email address, your vehicle registration or make and model if you give it, the service you need and the details you type. Your enquiry is saved in our website’s admin area, which only our administrators can access, and a copy is emailed to our inbox so we can reply. We do not record your IP address with it. If you phone us, email us or message us on WhatsApp we keep that conversation so we can reply and refer back to it.

When you book your vehicle in

To carry out work on your vehicle we record your name, contact details, your vehicle’s registration and details, the work we carry out and the invoice. We need this to do the job, to honour any warranty and to keep the business records the law requires.

When you pay

We accept cash, card, PayPal and finance. Card and PayPal payments are processed by the payment provider and we do not store your full card details. If you choose finance, the finance provider will collect the information it needs under its own privacy notice.

When you browse the site

With your consent, we use Google Analytics (measurement ID G-7LGT4NY315) to understand how people find and use the site — which pages are visited, roughly where visitors are, and what device they use. Google Analytics sets cookies in your browser to do this. These cookies are not set unless you accept them, and you can change your mind at any time using “Cookie settings” at the bottom of every page. Declining does not affect your ability to use the site.

Our contact form is protected by Google reCAPTCHA, which checks that the form is being used by a person and not an automated program. To do that it collects information about your device and how you use the page and sends it to Google. It loads on the contact page only. Maps on our site are provided by Google Maps and only load if you allow them. Some of our blog posts include videos from our TikTok and Facebook pages. These also only load if you allow them; once loaded, TikTok or Facebook may set their own cookies and receive information about your device.

The site uses Google Fonts to display text. When a page loads, your browser requests the fonts from Google, which receives your IP address. Google Fonts does not set cookies.

Our hosting and security systems also keep standard server logs, including IP addresses, which help us keep the site available and protect it from abuse. We keep a record of the cookie choice you make (a random ID, your choices and the date — not your IP address) for up to two years, so that we can show we asked for your consent.

Why we are allowed to use your information

UK data protection law requires us to have a lawful basis for using your information. Ours are:

  • To take steps at your request and to perform our contract with you — answering your enquiry, quoting, carrying out the work and taking payment.
  • Our legitimate interests — keeping records of the work we have done, dealing with any warranty or guarantee, preventing spam and fraud, and keeping the website secure. We use this basis only where it does not override your own rights.
  • Your consent — analytics cookies, and loading maps. You can withdraw consent at any time.
  • Legal obligation — keeping the accounting records that tax law requires us to keep.

Who we share it with

We do not sell your personal information, and we do not share it for anyone else’s marketing. We do share it with the suppliers who help us run the business:

  • Google — analytics (only if you accept analytics cookies), maps (only if you allow them), spam protection on the contact form, and web fonts.
  • Payment and finance providers — to take payment, where you choose to pay that way.
  • Our website host and IT suppliers — who store the site and its data on our behalf.

We may also disclose information where the law requires it, or to establish or defend a legal claim.

Sending information outside the UK

Some of the suppliers above, including Google, may process information outside the UK. Where that happens, the transfer is covered by safeguards approved for use in the UK, such as the UK Addendum to the EU Standard Contractual Clauses or a data bridge (adequacy) decision.

How long we keep it

  • Job records and invoices — six years after the end of the relevant tax year, because HMRC requires business records to be kept for that long.
  • Contact form messages and correspondence — kept in our inbox while they are useful for answering you and dealing with your vehicle, then deleted.
  • Analytics data — retained by Google for the period set in our Google Analytics configuration.
  • Cookie consent records — two years.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is wrong;
  • ask us to delete information we no longer need to keep;
  • ask us to restrict how we use it, or object to us using it;
  • ask us to transfer it to you or another provider in a portable format;
  • withdraw consent at any time, where consent is what we relied on.

To exercise any of these, email admin@stargaragemansfield.co.uk. We will respond within one month. There is normally no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator:

Cookies

Our Cookie Policy lists each cookie this site uses. You can change your choices at any time using “Cookie settings” at the bottom of every page.

Changes to this notice

If we change how we use personal information we will update this page and change the date at the top. Please check back from time to time.
